1. Introduction & Overview

Welcome to Kapila B. Bot ("we", "us", or "our"). This Privacy Policy explains how our Discord bot and associated web utilities handle, process, and protect your information when you interact with our services in Discord servers.

We are committed to user privacy and data minimization. We only process the minimal technical data strictly required to execute bot commands, provide server protection, and facilitate automated server moderation.

2. In-Memory Processing & Ephemeral Data

Kapila B. Bot operates primarily through ephemeral, in-memory processing. Data received via Discord’s Gateway is handled in volatile memory (RAM) and immediately discarded once the requested operation is completed.

Key Principle: We do not operate persistent chat-logging databases. Everyday user chat messages are processed in volatile memory in real time and are never written to permanent database storage.

  • Real-Time URL & Link Scanning: To detect malicious links, phishing attempts, and unauthorized domains, incoming message content is inspected in-memory via regex algorithms. Once verified or flagged, the message content payload is immediately released from memory.
  • Command Execution: Slash commands (/) and prefix commands (b) are parsed ephemerally to execute user requests (e.g. music playback, polls, meme generation) and discarded after execution.
  • Voice Channel State: Voice channel participant lists are checked in-memory strictly to manage music playback queues and vote-skipping.

3. Information Handled & Uploads to Server

The bot only processes the following categories of data:

  • Server Configuration: Discord Guild IDs, configured Channel IDs (e.g. log channels, announcement channels), and designated Admin Role IDs necessary to retain server settings across bot restarts.
  • Support Ticket & Moderation Transcripts: When a support ticket is formally closed or a moderation ban action is executed by server staff, the bot processes the relevant channel's recent messages in memory to generate an archived HTML transcript. This transcript is securely uploaded and posted directly to the server's private, designated moderator channel for authorized staff review.
  • Identifiers: Discord User IDs, usernames, and channel IDs strictly as needed to respond to commands and route notifications.

4. What We Do NOT Do

We uphold strict data protection standards:

  • No Chat History Profiling: We do not log, index, or profile general user conversations.
  • No Sale or Sharing of Personal Data: We never sell, rent, monetize, or share user data with third-party advertisers or data brokers.
  • No AI/ML Training: No message content, user data, or interaction logs are ever used to train artificial intelligence or machine learning models.

5. Data Security & Encryption

All communications between the Discord API, our hosting infrastructure, and the web interface are encrypted in transit using industry-standard HTTPS/TLS encryption. Server configurations and databases utilize Google Cloud Firebase with AES-256 encryption at rest.

Access to generated transcript links is restricted via randomized, cryptographically secure 128-bit hex tokens, ensuring that logs can only be accessed through the direct links provided in designated staff channels.

6. User Rights & Data Deletion Requests

Users have the right to request information about or immediate deletion of any associated data or archived ticket logs. You can request deletion through any of the following channels:

  • In-Server Ticket: Use the /ticket create command or the ticket panel in the server to request log deletion directly from staff.
  • Direct Contact: Reach out to server administrators or bot developers directly via Discord DM.
  • Support & Developer Community: Join our official developer support server or visit our website to submit a deletion request.

All deletion requests are verified and processed promptly within 24 to 48 hours.

7. Third-Party Services

Kapila B. Bot interacts with select third-party APIs to deliver public content and features:

  • Discord API: Subject to the Discord Terms of Service and Discord Privacy Policy.
  • Public Gaming & Media APIs: Steam, Epic Games, Reddit, and CheapShark APIs used solely to retrieve public deal information and feeds.
  • Imgflip API: Used strictly for generating meme image templates requested by users.
